Lori Baker explained the history of the assessment plans, HLC suggestions and explained how the continuous cycle of assessment will work throughout each year. Who will take charge of finalizing names and how will the selections be communicated with Scott? There must be awareness at all levels and it must be a part of the process. There had been hope at this meeting to put forth names to the SmSUFA Exec, but we are missing several people today. Betsy will contact the absent members of the CIA to seek their interest in serving on an AHA and we will determine the names at the March 8th meeting, now a two item agenda meeting. Upgrading CIA webpage: what should we be posting that will assist faculty and staff in assessment activities? See discussion below. Connecting and communicating assessment activities at all levels: Academic Affairs, Student Affairs, institutional operations. Report on assessment products from SA professional development day: Carrie Hansen reported they had a day for those who report directly to Scott Crowell; others attended due to interest. This day was a follow-up to Winonas Connie Gores session last fall. Gores has been highly involved in Winonas assessment activities; Gores gave examples and, also in the fall, Scott provided a template that he would like to see used in Student Affairs. Timeframes had been established for goals and assessment. More people attended in the fall because it was open to more people. The spring session was an informal report session: using the provided format people talked about their goals and what they have accomplished thus far. A wide range of progress from, for example, SA Rez Life doing assessment for years with pre and post tools they use. Faith and spirituality is one of the areas they are looking at this year. Tools used and what has been done was shared. Michele Sterner showed assessment from the summer Bridge Program, the assessment of the students after the Bridge Program on preparedness for going to college in the fall; a questionnaire about what the student got out of the Bridge Program. Those were the top range of examples. The other end was programs that had three outcomes but have yet to establish how to measure outcomes. They have a goal and are attempting something but do not know how to measure results. Scott likely plans to meet individually with people or groups, especially those lacking some focus. This was the first real formal round of doing this; it was explained it will be an annual report process and there will be an annual report every year from now on, always on-going. There was considerable discussion on the CIA designed flow chart of academic and student affairs reporting and who fits where and how; how reports will fit into the flow chart, closing the loops and the parallel alignments. It was discussed how certain key people do not exist on the SMSU website; some key figures should be easier to find via the website. Ideas are being developed for the CIA page, to jazz it up and make it more attractive, interesting and effective. Adding links to various areas of the campus, collaborative areas, posting of special dates, active tabs for the mini-grants process, Lunch and Learns, goals, strategic plan, etc. will likely be added to the website. Linking individual programs student learning outcomes, curriculum map, and assessment plan to CIA page Linking CIA flow chart for Academic Affairs with Student Affairs and other institutional units (Not exactly what was approved at the 2/14/13 Assembly; some language changes were made) Assessment Plan Structure for SMSUs Liberal Education Program Assessing SMSUs Liberal Education Program (LEP) requires the active cooperation of every department that teaches courses in the LEP, along with the Liberal Education Committee (LEC) and the Committee for Institutional Assessment (CIA). The LEP exists at one level to introduce students to a range of academic areas broad enough to help form a liberal education. At another level, the LEP represents SMSUs commitment to helping students make real progress in essential skills such as written and oral communication, critical thinking, information literacy and creative thinking. This combination of introduction and achievement complicates assessment efforts for the LEP. SMSUs Faculty Assembly has identified 10 learning outcomes and a set of sub-goals for each outcome which will form the basis for assessing the Liberal Education Program. The learning outcomes will be assessed on a rotating three-year schedule established by the LEC. Each outcome will be assessed at least once in each three-year cycle, but may be assessed more frequently if necessary. By March 31 of each academic year, SMSUFA will establish three or four Ad Hoc Assessment Teams (AHA Teams) of four to six members each to carry out LEP assessment during the following academic year. These teams will include one member each from the LEC and the CIA, at least one of whom will be a SMSUFA faculty member and will chair the committee, as well as one member from Student Affairs. Additional membership will come from among faculty members who teach courses in the outcome area to be assessed or from the faculty at large. By April 30 of each academic year, each AHA Team will decide which of the sub-goals identified for their assigned LEP learning outcome they will assess during the following academic year. Teams will make these decisions based on previous assessment results and other available information. Teams may elect to assess every sub-goal or to assess a subset of the sub-goals. Because both the LEC and the CIA will be represented on each AHA Team, these decisions will be informed by the assessment history for each learning outcome. After deciding which sub-goals to assess, each AHA Team will further identify the specific courses from which it will collect data for the fall semester. Each Team will similarly identify spring semester courses for assessment before the end of each fall semester. It is impractical for the Team to assess every course offered under the outcome area in one semester. The Team will select a representative sample of the courses offered and collect assessment data only from those courses. Finally, before the end of the academic year, each AHA Team will identify the specific class activities, tests and other assessment methods they will use during the following academic year. Each Team will notify the affected instructors that their courses or sections have been selected and will inform them of the assessment tools that will be used in the next semester. Similar notification will be made during the Fall semester for the selected Spring semester courses. This prior notification will allow instructors to plan appropriately. During the fall and spring Semesters of each academic year, each AHA Team will oversee the collection of data from the sources and methods they have previously identified. The collection of data should be coordinated with the instructors of the affected courses. As Teams collect data, they will take adequate steps to protect student confidentiality by using class-level results, removing student names from papers and other submitted student work or through other relevant methods. Data and summaries forwarded to the LEC should not identify, or allow the identification of, particular students. Each AHA Team will prepare a summary report on their assigned student learning outcome by the end of September in the following academic year. These reports will be delivered to the LEC and will describe both the processes for data collection and the implications of the data. By the end of October, the LEC will prepare a summary report based on the work of all of the previous years AHA Teams and deliver this report to the SMSU Faculty Assembly. Both the LEC and individual programs will use assessment results to propose adjustments to their respective curricula.
